Christchurch School is a co-ed Episcopal boarding and day school serving grades 9-12. Founded in 1921, Christchurch is located on a 125-acre waterfront campus on the Rappahannock River in Virginia. Position Overview
Under the guidance and supervision of the Chief Development Officer, the Database Administrative Coordinator will play a crucial role in managing our donor database, ensuring accurate record-keeping, and providing vital support to our fundraising efforts. We are seeking a dedicated and detail-oriented Database Administrative Coordinator who will work closely with the development team to enhance data management practices and facilitate effective communication with donors, alumni, and community stakeholders. This individual will embrace our mission, vision, core values, and its place in the Episcopal Church Schools in the Diocese of Virginia school system as well as understand the school’s academic program and its campus culture.

The Database Administrative Coordinator’s primary responsibilities include, but are not limited to:

  • Database Management: Oversee the maintenance and accuracy of the fundraising database, ensuring timely updates and proper categorization of donor records, contributions, and campaign data.
  • Data Entry and Maintenance: Process and record donations and pledges, ensuring accurate data entry and prompt acknowledgment of gifts. Maintain consistent and organized data files.
  • Data Quality Assurance: Conduct regular reconciliations and audits of database records, along with the business office, to ensure data integrity and completeness. Identify and correct discrepancies or outdated information.
  • Report Generation: Create and produce reports on fundraising activities, donor engagement, and other key metrics to support strategic planning and decision-making for fundraising initiatives.
  • User Support and Training: Assist development staff with database-related inquiries and provide training on using database tools and generating reports as needed.
  • Collaboration: Work closely with the fundraising team to understand data needs and support campaigns, events, and donor communications. Facilitate data-sharing between departments as necessary.
  • Documentation and Best Practices: Develop and maintain documentation of database procedures, processes, and best practices to ensure consistency and compliance with privacy regulations.
  • Event Support: Assist in data preparation and management for fundraising events, including creating and printing office publications, sending emails through constant contact, and tracking RSVPs, donations, and attendee information. Attend development related events and schoolwide functions as needed.
  • Confidentiality and Compliance: Ensure that all donor information is handled with the utmost confidentiality and in compliance with relevant data protection laws and school policies.
  • Engagement: Answer the school’s main phone line on a rotating basis. Possible engagement in the school community through duty, advisory, or a co-curricular activity.
  • Other Duties: Perform other duties as assigned.
Qualifications
  • Bachelor’s degree preferred.
  • Proven experience in database management and/or administration, preferably in a fundraising or nonprofit environment.
  • Strong analytical skills with a keen eye for detail and a commitment to high data accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple projects simultaneously while meeting deadlines in a fast-paced environment.
  • Proficiency with Word, Excel, Raiser’s Edge NXT, Blackbaud, Constant Contact and Evite, and any other related or relevant technology.
  • Familiarity with fundraising best practices and donor communication strategies.
  • Team player with a positive attitude, proactive approach, and customer service mindset.
  • A disciplined, results-oriented self-starter who can work both independently and collaboratively in a fluid environment.

Christchurch School offers a highly competitive compensation package with benefits to include excellent health plan options, retirement benefits, professional development, and networking opportunities. This is a 12-month full-time non-exempt position.

Hours of Work
Monday through Friday from 8:00 a.m.-5:00 p.m. Evening and weekend work and occasional travel may be required as job duties demand.
